Responsibilities:
The Benefits Coordinator is primarily responsible for the day-to-day functions of leave of absence administration but also serves as a supporting position for all company benefits for our corporate office and locations nationwide. This person will also be responsible for other human resources functions as assigned.
This position requires a high degree of organization, professional communication, confidentiality, and attention to detail. This position plays a critical role in supporting employee well-being and ensuring legal compliance while fostering a culture of care, trust, and accountability within the organization.
Essential Responsibilities:
Leave of Absence Administration:
- Serve as the subject matter expert on all leave-related policies and procedures.
- Administer leave programs in accordance with FMLA, ADA, USERRA, and other applicable state laws.
- Review and process leave requests, including medical certifications and documentation.
- Maintain accurate records of leave cases and ensure timely communication with employees and hospital leaders.
- Collaborate with Payroll, Benefits, and HR Business Partners to ensure seamless leave administration.
- Provide guidance to employees regarding eligibility, documentation requirements, and return-to-work procedures.
- Monitor state leave trends and requirements.
- Coordinate with third-party administrators, insurers, and state agencies when applicable.
- Maintain accurate leave records, ensuring both confidentiality and compliance with HIPAA and other privacy regulations.
Benefit Operations & Administrative Support:
- Assist with monitoring the Benefits & Leave Team Inboxes to ensure timely communication and responses.
- Serve as lead contact for disability insurance, hospital indemnity, critical illness, and life insurance claims, including education and employer support for claims.
- Assist with the open enrollment process and day-to-day benefits administration such as processing life events that may arise from a leave.
- Manage the collection of benefit deductions during and upon return to work from leave cases through payroll and direct payment system.
Qualifications:
- Bachelor's degree in human resources, Business Administration, or related field preferred.
- 2+ years of experience in a HR or Benefits position with at least 1 year of experience administering FMLA and leave policies internally.
- Demonstrated knowledge of leave administration processes and HR compliance.
- Technical experience with various payroll systems a plus, especially fully automated self-service processes.
- Thorough understanding of HR policies and processes, including wage and hour laws, as well as HRIS and reporting expertise.
- Strong verbal and written communication skills, with a high sense of urgency and ability to effectively communicate sensitive and confidential information with empathy.
- Must be detail-oriented and able to work independently as well as within a team.
- Experience with Paycom application is a plus but not required.
- Experience supporting or working closely with HR leadership is a plus.
