Paid holidays\r\n\r\n\r\n \r\n\r\nAdministrative Operations Manager Responsibilities:\r\n\r\n\r\n\tCreate an environment of professionalism, warmth, and welcome.\r\n\tMaintain office in a clean and organized manner.\r\n\tAssist in the participation of company safety program administration.\r\n\tAssist employees in post-accident/incident protocol.\r\n\tManage policy update acknowledgement collection, annual, and training documentation as directed and ensure completion and return by deadline.\r\n\tServe as liaison between Shared Services and the Production/Transportation, partnering with each department (HR, IT, Accounting, Logistics & Safety) to help achieve objectives/goals.\r\n\tConnect employees with the appropriate shared services contact for questions/issues that cannot be resolved locally.\r\n\tCultivate, grow, and maintain an effective team.\r\n\tAssist with recruitment, hiring, training, performance, corrective action, and termination processes for all direct reports on a daily basis.\r\n\r\n\r\n \r\n\r\nProduction Specific duties:\r\n\r\n\r\n\tManage farm uniform program and ensure invoice reflects the correct usage.\r\n\tOrders and assigns PPE as position requires.\r\n\tAssist Farm Management/Safety in agriculture program adherence such as entering information for certifications, applications, and licenses.\r\n\tManage all Farm credit cards, spending approvals, credit card purchases, and scan receipts to shared services office. \r\n\tTrack expenses for farm budget purposes and work with Farm Manager to resolve any disparities efficiently.\r\n\tManage, administrate, and coordinate bulk purchases.\r\n\tMake bank deposits and check PO Boxes as needed.\r\n\tManage shipping and receiving for a multi-state operation and ensure mail is distributed to appropriate locations timely and efficiently.\r\n\tEnsure all invoices, packing slips, monthly vendor statements, and PO’s are accurate and scanned into Sod Central.\r\n\tEnsure all work orders are coded and submitted to the Accounting Team.\r\n\tSubmit Farm Supplies orders to Accounting Team for internal billing.\r\n\tEnter sod orders and process payments for walk-in customers as needed.\r\n\tCoordinate onsite sod pickup orders, including time, location, loading, and any additional specific information.\r\n\tCreate/Issue purchase orders (POs).\r\n\tManage administration of in-house sawmill and pallet production.\r\n\tCoordinate approved invoices and place them in appropriate folders daily (not to exceed 24 hours from time of approval).\r\n\tManage with new hire application process and ensure all items are completed properly before sending.\r\n\tManage farm orientation process (including safety) of new employees, coordinate company property and technology needs.\r\n\tAct as designated authorized representative for in-person I-9 verification.\r\n\tAssist Farm Management with payroll, resolve missing punches, make time adjustments as needed, and prepare for approval.\r\n\tCommunicate movement to Payroll for correct location coding each Monday.\r\n\tAssist employees with general inquiries and/or direct them to the appropriate representative.\r\n\r\n\r\n \r\n\r\nH2A Specific duties:\r\n\r\n\r\n\tCoordinate H2A onboarding process and ensure all workers have bank accounts, Social Security cards, US Driver license renewals etc.\r\n\tProcess weekly timecard acknowledgement signoffs/return to HR for audit purposes for H2As.\r\n\tTrack H2A labor hours to ensure farm stays on budget/notify Farm Manager urgently of non-compliance.\r\n\tAssist with H2A housing, setup inspections, purchase products for compliance such as mattress covers, smoke detectors, housing cleaning supplies as directed by CDC/HR. etc. as requested.\r\n\r\n\r\n \r\n\r\nAdministrative Operations Manager Position Requirements:\r\n\r\n\r\n\tMust demonstrate ability to be a team player and build positive working relationships with others.\r\n\tMust possess a high school diploma or GED equivalent. \r\n\tAdvanced education in administrative skills or degree is desired. \r\n\t3+ years’ experience managing similar processes listed under position responsibilities (above).\r\n\t3+ years’ experience managing at least 3 people.\r\n\tMust possess Notary certificate or ability to obtain within 3 months of hire.\r\n\tDemonstrated ability to engage customers with professionalism, patience, and a people-first attitude.\r\n\tValues relationships and results.\r\n\tAbility to be physically/consistently present for critical onsite collaboration.\r\n\tAbility to discern what issues need to be brought to upper management.\r\n\tMust be able to handle multiple tasks and perform well under pressure of deadlines.\r\n\tMust be highly motivated and efficient with the ability to work independently.\r\n\tExperience with MS Office suite (Outlook, Excel, Word, etc.) and the ability to learn company software programs required.\r\n\r\n
