The HR Administrator works in partnership with and as support to the respective HR Business Partner to provide a professional and credible HR service to the Covetrus Businesses, primarily in Germany and Switzerland and ad hoc in Belgium and the Netherlands.
The HR Administrator is proactive and tech-savvy, passionate about and focusing on creating efficiencies and streamlining our HR processes through automation and digital solutions. The role requires excellent organization and time management skills to handle multi-site demands as well as being an effective team player and contributing to the wider team by supporting colleagues and leaders of the business.
About the role
General HR Responsibilities
- Provide HR support to managers and employees in Germany and Switzerland (in which approximately 100 employees are based) in line with organizational policies & procedures.
- Create contracts, amendments, reference letters and other HR related correspondence linked to the employee lifecycle. Investigate new ways to automate and digitize the processes using Workday and other technologies.
- Support primarily the HR Business Partner Switzerland/Germany in ad hoc and improvement projects.
- Support the wider HR organization in improving HR Operations and processes through automation and digital solutions.
- Supporting in updating HR processes and procedures where and when appropriate.
- Providing coordination and administrative support to training events facilitated by the HR function.
Payroll Support
- Prepare local variable pay data for the payroll team, including pensions and expenses.
- Manage accident and long-term sickness cases, maternity/paternity/child contribution enrolment with the authorities.
Record Keeping & Time Tracking
- Responsible for the maintenance of the HRIS (Workday) ensuring correct and complete records are kept up to date at all times.
- Administer time tracking systems and make updates, e.g. FTE changes or adding new hires. Responding to employees and managers about time and attendance enquiries.
Reporting & Administration
- Regular and adhoc reporting, e.g., reporting to insurances.
- Administer the company car benefit for eligible employees, managing vehicle allocation, documentation, vendor coordination (leasing/insurance/maintenance), and fleet records to ensure policy compliance and smooth day-to-day operations (for Germany only).
- Administer the company mobile phones (for Germany only).
- Handle other administrative tasks and responsibilities that may arise, even if they fall outside the primary function of the role, to support the business needs.
Working Environment
This role is based primarily in our Darmstadt office in Germany, with a minimum of two days per week on site. Occasional travel will also be required to our Lyssach office in Switzerland.
