Description:
The purpose of this job description is to maintain organization and control of the company parts department. Inventory control, parts sales, customer invoicing, and billing of parts to the service department are all impacted by parts sales.
Duties and Responsibilities: Duties and responsibilities include but are not limited to the following:
- The person will handle face to face interactions and phone calls from customers to order parts, check on parts order status or other customer needs
- The person must handle all receiving of inventory shipments. Confirming correct items have been received and signing only upon confirmation of correct shipment. Shipment receipts must be directed to the Parts Manager or Office Manager for timely invoicing and payment
- The person must handle shipment of customer orders through appropriate mail service providers. Pay special attention and detail to accurate shipping address, billing to customer and proper postage
- Assist Service Technicians in gathering the parts they need for warranty, internal or customer repairs when necessary. Ensuring to bill appropriate work orders for parts that have left inventory. If parts are not needed, they must be put directly back into inventory
- The person must take the needs of the customer seriously and be willing to provide a solution to the customers’ parts problem or seek guidance on solving the issue at hand
- Judgment and decision making must be done with integrity and promptness. Fair judgments with customer issues must be within the capabilities of the person in this position. The person must be able to see all sides of issues and be willing to seek guidance when needed to perform the duty of satisfying the customer and looking out for the best interests of the company
- The person must handle routine and difficult situations tactfully. He/she must be cooperative when working with fellow employees, being consistent in dealings at all times. Deadlines and company needs outside and inside of the parts department must be met
- A Parts Counter Sales person will work with the Parts Manager to improve showroom layout, display areas, and general appearance of the parts counter area
- The person must be reliable and dependable. It is very important that this person will go beyond the norm with effort to solve customer problems. Work hours may be extended in certain seasons to cater to customer needs outside of an 8-5pm work day. After hours deliveries and weekend parts needs are sometimes needed by the person in this position and the person will receive additional compensation when after hours are required
- The person must be well groomed at all times and maintain high ethical and moral standards
- The person in this position must cooperate with the Parts Manager to maintain good inventory control. Those items of inventory control, parts ordering and stocking which are primary to the Parts Manager position must be complemented by efforts of the Parts Counter Sales position. All of the requirements of the Parts Manager position are in some part requirements of the Parts Counter Sales position and vice versa
- All additional duties assigned by the Parts Manager or General Manager
Reporting: Parts Counter Sales position reports to Parts Manager. No position reports to this position.
Education Requirements: A High School diploma or equivalent. Additionally, one-year minimum experience in the farm equipment industry is required, preferably involving service or parts.
Skill, Abilities and Knowledge: Ability to maintain inventory records, a clear understanding of how the process of acquiring parts and sales of parts impacts inventory. Offering an image of helpfulness, knowledge and experience is essential. Orderliness and cleanliness must be a paramount attribute to the person who is to be charged with the responsibilities of this position. An ability to follow a regular routine of tasks necessary to maintain order is required. Computer literacy is also required.
Physical Requirements: Body positions include sitting, standing, walking, turning head and bending torso, bending arms, wrists and fingers. Body senses needed are full use of eyes, ears, and full power of speech. The parts sales position requires ability to do routine arithmetic calculations and have an understanding of pricing and margin. The parts sales position requires ability to communicate in English and to effectively communicate orally and in writing as this position has the job of writing reports and notes to customers and associates.
Working Conditions: Work environment will be a climate controlled, smoke free store with occasional time in warehouse conditions and exterior locales.
Mental Requirements: The parts counter sales person must maintain high staff morale in the company. Setting an example of teamwork is critical to this requirement.
Conclusion: The Parts Counter Sales position is critical to the overall operation of the company. More times than not the Parts Counter Sales person has contact with the customer before anyone else in the company. Achievement of the goals of this position will enhance the overall performance of the company. The Parts Counter Sales person can make the company a place where people like to do business with pleasant and prompt attention to the needs of the customers.
