Reporting to the Associate Dean, Dental and Animal Clinical Services, the Clinic Operations Coordinator provides operational and administrative support for NAIT's on-campus veterinary clinic which is an accredited lab necessary to program delivery. This role coordinates daily clinic activities in conjunction with academic programming, supports patient bookings and records, ensures compliance with institutional policies and external regulatory requirements.
Key Responsibilities:
Clinic Operations
- Coordinate daily clinic activities to ensure smooth operations and compliance with NAIT policies, health/safety, and veterinary regulations.

Liaise with internal departments to support operational needs.

Assist with patient booking systems, clinic records, and data management.

Monitor patient flow and assist with maintaining required clientele for academic program delivery, with assistance from the Associate Dean.

Prepare purchase orders, verify invoices, track consumables; reconcile routine operational expenses and escalate variances for review/approval by the Associate Dean.
Leadership
- Coordinate daily work assignments and schedules for Ed Tech/IA teams to ensure clinic and academic operations.

Provide leadership, coaching and mentoring.

Develop and implement team management strategies and process improvement.
Administration and Client Outreach

Maintain clinic compliance documentation (accreditation, safety, privacy)

Coordinate clinic rentals and logistics.

Serve as a first point of contact for routine client inquiries; triage and document concerns; coordinate resolutions with program and/or school leadership while maintaining confidentiality and professionalism.

Collaborate with Senior Veterinary Medical Officer and Associate Dean regarding clinic operations and accreditation.
Skills and Abilities:
- Strong organizational and time management skills.

Strong oral and written communication.

Proficiency with administrative systems and Microsoft Office.

Familiarity with clinic booking and record systems.

Knowledge of legislative requirements, safety regulations, and data management standards.

Understanding of dental clinic workflows, accreditation requirements, and infection control protocols.

Basic financial process knowledge.
Qualifications:
- Diploma in a related field (healthcare, veterinary or business administration).

5 years of administrative/operational support experience in a clinic or educational setting.

Knowledge of Privacy Act, OHS and clinic accreditation requirements an asset.

Equivalencies to be considered.
Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES).
Remuneration: $71,863.48 - $96,641.22 annually, plus a comprehensive benefits package. (Classification – Coordinator II).
This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
