Overview
We’re a new, home-based mobile veterinary surgery practice looking for a reliable, organized, and flexible Administrative Assistant to support the day-to-day operations and help keep things running smoothly. You’ll be working closely with the veterinarian from his home office. This is a hands-on, varied role that includes both personal and professional administrative support.
By keeping our office organized and running smoothly, you become a vital part of each animal’s journey—helping ensure that every dog and cat we operate on is met with the care, comfort, and compassion they deserve.
We’re a two-person operation, so we’re looking for someone who’s comfortable wearing a lot of hats, enjoys being part of a small team, and isn’t afraid to jump in and help wherever needed!
Duties include:
- Monitor and manage the veterinarian’s professional email inboxes
- Maintain and update calendars, coordinate appointments and meetings
- Manage long- and short-term projects and maintain comprehensive to-do lists
- Pay and track bills monthly, manage banking and account statements
- Review and categorize credit card and checking account charges for budgeting
- Manage refunds, credits, and other loose ends
- Attend all meetings (in person or remote), take notes, and keep records
- Follow up on meeting tasks and deadlines
- Prepare and coordinate production of clinic marketing materials
- Oversee insurance policies and coverage (health, auto, liability, etc.)
- Communicate with external professionals (e.g., tax preparer, bankers)
- Manage office technology, troubleshoot issues, and maintain digital systems
- Book and coordinate all travel arrangements, maintain travel calendars
- Update the office procedure manuals as things evolve
- Assist with physical office maintenance tasks, such as watering office plants
- Perform other administrative duties as needed
Skills & Qualifications:
- Previous admin or executive assistant experience
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Strong communication and organizational skills
- Ability to juggle multiple tasks and priorities simultaneously
- Compassionate, patient, and adaptable to changing needs
This is a part-time, hourly position. The role requires working in-person in a home-office setting, so comfort with a non-traditional workspace is important.
