Position Summary
The Veterinary Clinic Practice Manager is responsible for overseeing the daily operations of the Oahu SPCA Veterinary Clinic, ensuring all activities comply with applicable laws, regulations, and organizational policies. This role maintains clinic scheduling, supports the veterinary team, supervises clinic support staff, and collaborates with shelter and program teams to meet the medical needs of both shelter animals and public clients.
Duties & Responsibilities
- Foster a positive, collaborative culture across all departments in support of the Oahu SPCA mission.
- Provide exceptional customer service with Aloha and encourage ongoing engagement with organization with every interaction.
- Assist in creating, updating, and implementing clinic procedures and identifying needs.
- Keep the facility clean and visually appealing to clients and staff.
- Provide daily leadership, direction, and hands-on support to client service staff, veterinary assistants/technicians, veterinarians, and volunteers.
- Oversee employees; including hiring, scheduling, payroll, conducting performance evaluations, promotions, disciplinary action, and termination.
- Maintain employee records including veterinary licensing and insurance documentation for DVMs.
- Educate the public on responsible pet ownership and the importance of spay neuter and how it impacts our community
- Maintain efficient clinic flow by optimizing scheduling for shelter animals and public clients.
- Manage and maintain the clinic’s medical records system, ensuring accurate and complete patient documentation.
- Oversee client billing, payment processing, and compliance with all Oahu SPCA accounting procedures. Make pricing recommendations.
- Facilitate and train support staff to resolve customer complaints.
- Coordinate equipment maintenance, repairs, inspections, and state licensing requirements.
- Assist with scheduling external veterinary resources for procedures not provided in-house.
- Ensure humane, safe, and appropriate care for all animals housed in or treated by the clinic, including follow up client communications.
- Work with vaccine clinic team to align services, offerings, specials, organizational goals, etc.
- Support development of the annual clinic budget and maintain compliance with audit requirements.
- Maintain up-to-date knowledge of Oahu SPCA personnel guidelines, state and federal regulations, and all relevant organizational policies and programs.
- Support additional Oahu SPCA programs, events, and activities as needed.
Experience & Desired Attributes
- Ability to work independently while contributing effectively to a team environment.
- Demonstrated knowledge of veterinary clinic operations, procedures, and regulations through education, training, or equivalent experience.
- Minimum 5 years veterinary experience, animal rescue experience a plus.
- Experience in a high-volume spay/neuter clinic
- Minimum 5 years management or supervisory experience.
- Strong organizational skills and exceptional customer service abilities.
- Ability to collaborate with veterinary professionals, support staff, volunteers, and community members.
- Passion for animal welfare; current working knowledge of companion animal care and adoption issues.
- Experience with strategic and operational planning.
- Understanding of financial management and accounting principles.
- Excellent verbal and written communication skills, as well as strong public speaking
- Ability to set clear priorities, delegate and guide investment in people and systems; keen analytic, organization and problem-solving skills, which support and enable sound decision making.
- Strong motivational skills, management skills and interpersonal skills, with the ability to provide staff and community leadership.
- Strong commitment to the professional development of staff and a successful track record of recruiting and retaining a diverse team. Ability to encourage staff to share ideas and take appropriate initiative.
- Ability to be flexible and able to adapt to immediate or unforeseen challenges.
- Proficiency in the use of computers, particularly E-mail, the Internet, MS Word and Excel; QuickBooks experience is a plus. Demonstrated proficiency across multiple social media platforms.
- Must be willing to work in a shelter environment (wet, smells, pet dander, animal waste, blood, etc.)
Pay: $60,000.00 - $70,000.00 per year
