Missions of the job
The Office Manager provides executive and operational support to the Managing Director and ensures the smooth day-to-day functioning of the Adisseo NL office. The role combines administrative, coordination and office management responsibilities, acting as a key point of contact for internal stakeholders, visitors, suppliers and partners.
Responsibilities
- Handle incoming calls and requests from colleagues, customers and prospects (via Teams).
- Coordinate and prepare visits for customers and colleagues (travel, hotels, lunch/dinner, transport and parking).
- Prepare and manage invitation letters (back-up).
Office Management & Facilities
- Act as a first point of contact for visitors, customers, receptions and deliveries.
- Receive and distribute packages and documents to the relevant departments.
- Order and manage office supplies, consumables, water, coffee, paper, toners, and other materials.
- Coordinate external service providers (cleaning, waste management, catering, technical services).
- Monitor waste containers and liaise with environmental service providers.
- Manage daily mail, PO box, and registered mail.
Logistic and Shipments
- Prepare and ship packages via DHL and PostNL, including:
Creation of shipping documentation (Proforma and Commercial Invoices).
Shipments within and outside the EU.
Travel & Systems
- Manage and support users of the corporate travel system Egencia.
- Act as back-up for HR administration tools (Calamari).
QualificationsHard Skills
- Office management and executive support.

- Corporatetravel coordination. (Egencia or similar)
- Logistics and shipments. (DHL, PostNL)
- Preparation of Proforma & Commercial Invoices.
- Order entry in internalsystems.
- Vendor and facilities coordination.
- Professional workingproficiency in Dutch and English.
Soft Skills
Education
- MBO+/HBO working and thinkinglevel, or relevant experience in office management or administrative roles.
