Title: Office Manager / Workplace EXB Lead – Pune, India

Office Manager
As the founding office manager or what we call the Workplace Experience & Belonging Lead at Fastly, this position will be responsible for the physical and experiential environment in our Pune office. You will be responsible for the day-to-day running and continuous improvement of the Pune office: facilities, office services, transportation (including late-shift taxis), vendor relationships, and on-the-ground coordination with local authorities and building management. You’ll ensure the environment is safe, reliable, and employee-friendly for teams working India daytime and US-aligned shifts.In addition to executing our team strategy in Pune, you will collaborate across the Employee Experience & Belonging team. You will contribute to event programming and other employee engagement projects.

What You'll Do:
Key Responsibilities
Ensure the Pune site runs smoothly and is highly organized. Tasks include:
Run daily office operations: reception/front desk, meeting rooms, seating plans, housekeeping, pantry, office supplies.
Act as the first point of contact for all internal and external visitors.
Maintain a high-functioning office environment by ensuring all facilities (HVAC, power backup, internet, access control, security) are functioning; coordinate fixes quickly with building / coworking operators.
Partner with IT to ensure desks, meeting rooms, and shared spaces are set up and ready for teams (headsets, screens, quiet zones, call booths).
Set up and manage corporate taxi vendors for employees working late/evening US-aligned shifts (Finance month-end, CS peak periods, etc.).
Design and maintain safe routing, rosters, and SLAs; ensure compliance with local norms around women’s safety at night (escort policy, check-in process, emergency escalation).
Provide general support for leadership across various departments on topics including event setup, onsite team meetings, meeting/conference room technology and travel to the Pune site.
Oversee all purchasing to ensure catering, snacks, beverages, goodies and other supplies are stocked
Act as on-site focal point when building management, inspectors, or other officials visit the premises (typically alongside external CA/compliance partners).
Support future office expansion (additional floors/cities) by sharing data on utilization, issues, and employee feedback.
Create an engaging employee experience for Fastly employees that is aligned with company objectives and employee experience & belonging goals to foster a positive and inclusive workplace culture. Including to:
Ensure a welcoming, professional environment for Fastlyans (Prepare desks and welcome kits, Provide basic office orientation, Make sure shared spaces support focus work and calls.).
Coordinate with the Employee Experience & Belonging team on engagement activities, recognition events, and small site-level celebrations (especially for teams working US hours).
Gather regular feedback (surveys, check-ins) on workplace experience; propose and implement improvements.
Assist in planning and executing social events for Pune-area employees (i.e. holiday parties, Fastly traditions, and milestone celebrations)
What We're Looking For:
Basic Qualifications
3–6 years experience in office administration, facilities, workplace or admin/ops roles, ideally in a multinational or shared-services environment.
Hands-on experience managing office services and vendors (cleaning, security, taxis, pantry, maintenance).
Comfort supporting teams that work US or extended shifts (late evening / night) and understanding of associated safety & logistics expectations.
Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-growing environment.
Moderate communication skills in English and excellent proficiency in Hindi and Marathi both for vendor and local authority interactions.
Flexibility in work hours
High ownership and service mindset; willing to “roll up sleeves” and personally solve issues.

Preferred Qualifications
Experience launching a new site or moving from coworking to a dedicated office
Exposure to basic EHS / safety practices in offices (fire drills, emergency procedures)
You’re a problem solver. If you’ve never done it before, you jump in head first. You are proactive, resourceful and accountable
You are comfortable reporting to a remote manager and capable of operating autonomously within standard guidance
You have exemplary communication skills, with the ability to build relationships and communicate effectively with employees at all levels of the organization
Skilled at adapting to project constraints and resolving problems on your own; ability to work independently
Bachelor’s degree, preferred
Excellent computer skills including Google Workspace, JIRA, Slack and Zoom
