We are seeking a full time Receptionist with excellent customer service skills to join our welcoming team. As a Receptionist, you will be the first point of contact for our clinic. You will coordinate scheduling appointments, prepare documents for patient visits and relay messages for doctors. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with tasks in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
Responsibilities
- Serve as the first and last point of contact for all clients and patients, ensuring a consistently welcoming, professional, and compassionate experience.
- Greet clients and their pets promptly upon arrivate, acknowledge wait times, and provide clear communication throughout their visit.
- Create a calm, organized, and supportive front desk environment, even during peak hours or emergencies.
- Answering telephone calls and returning e-mails.
- Accurately schedule surgical, technician, and doctor appointments according to hospital protocols.
- Verify that patient histories, vaccines, mediations, and alers are current prior to appointments.
- Issuing invoices for treatment and prescribed medication after each consultation.
- Receiving and verifying payments after each consultation.
- Overseeing the sale of items stocked by the practice.
Skills
- Work experience as a Veterinary Receptionist, Front Office Representative or similar role
- Hands-on experience with office equipment (e.g. printers)
- Professional attitude and appearance
- High attention to detail
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
