How you will help
Our clients are the best part of our company. This is a very emotional time for them, and the support and services you provide them are always deeply appreciated.
With each phone call, you act as the first point of contact for families looking for support as they prepare to say goodbye to their beloved furry family members. Additionally, you will provide clerical support for the office and assist the doctor in preparing for visits.
Specifically, you will:
♦ Answer phones, text, and email; discuss the goodbye visit, obtain information, answer questions, take messages, and/or forward calls to the correct personnel
♦ Offer simple emotional and psychological support to the client/family
♦ Confirm and schedule appointments and prepare materials and charts for appointments
♦ Serve as a liaison between client and veterinarian
♦ Escort families to comfort rooms at our Goodbye Center
♦ Complete daily data entry, maintain forms, databases, and spreadsheets as directed
♦ Manage general inventory of supplies
♦ Engage in marketing, including delivering brochures, educating the community, and developing relationships with local pet service providers.
♦ Complete occasional out of office errands
♦ Submit cremation requests and assist with transport and after care
♦ Resolve administrative problems by identifying areas for improvement and providing solutions, and research new services and technology as directed
♦ Keep the office clean and neat
♦ Work independently with little need for supervision while maintaining a climate that promotes growth and harmonious relationships within the staff
♦ Perform general clerical duties as needed and other miscellaneous tasks as assigned

Required skills
♦ Exceptionally soothing and calm phone voice with empathic customer service skills
♦ Computer literate: proficiency in Microsoft Office (Word, Excel, etc.) and the ability to learn new software
♦ Attention to detail and accuracy with excellent organizational and time management skills
♦ Superb written and verbal communication skills
♦ Proficiency in the use of an Android cell phone and hands-on experience with basic office equipment
♦ The maturity and ability to deal effectively with the demands of a sometimes emotionally challenging job, including strict confidentiality and professionalism
♦ Ability to establish and maintain effective relationships with doctors and clients
♦ Ability to be resourceful and act independently when issues arise
Required qualifications
♦ One or more years’ experience as a receptionist, administrative assistant, or office manager
♦ High school diploma or equivalent
♦ Current Alabama driver’s license
♦ A dependable vehicle with at least liability insurance
♦ Ability to pass an appropriate background check
♦ Must be able to lift 40lbs or more.
Preferred qualifications
♦ One or more years’ experience in a related caregiver field
♦ Managerial experience
Special Demands/Physical Requirements:
This position requires medium/heavy lifting. Normally, such lifting will involve but not be limited to, assisting with the transfer of a patient for cremation. This position can also be at times mentally and emotionally demanding in navigating the needs of the families facing end-of-life decisions. We provide a supportive environment encouraging appropriate self-care.
Hours and location
♦ Tues-Fri 9am-6pm and Saturdays 10am-2pm
♦ 35-40 hours per week
♦ We are located near I-65 in Mobile, AL
