Our preference is to have someone based in Ontario ie. Kingston or Ottawa but we are open to other locations as well.\r\n\r\n \r\n\r\nSERVICE ACCOUNTABILITIES:\r\n\r\n\r\n\tFacility Maintenance: Oversee and coordinate all aspects of facility maintenance, including electrical systems, plumbing, lighting, roofing, parking lots, facades/structural, Landscaping. Implement and standardize maintenance programs to minimize downtime and optimize operational performance.\r\n\tEquipment Maintenance: Develop and implement maintenance programs for all equipment used in grocery and retail store operations, such as material handling, conveyor systems, cash registers, dock equipment, food service equipment, shelving/displays, racking. Ensure adherence to maintenance schedules and procedures to maximize equipment reliability and longevity.\r\n\tCompliance and Safety: Ensure compliance with all applicable regulations, codes, and safety standards related to maintenance activities. Conduct regular inspections and audits to identify potential hazards or risks and take appropriate corrective actions to maintain a safe and secure environment for employees and customers.\r\n\tBudgeting and Cost Control: Manage the maintenance budget. Monitor expenses, identify cost-saving opportunities, and implement strategies to optimize resource allocation while maintaining service quality and operational effectiveness.\r\n\tCapital Projects: Manage the CAPEX budget. Identify project plan, tender to vendor and monitor project until completion\r\n\tStakeholder Management: Proactively manage key internal partner relationships (Store Operations, Finance, Food Safety, Strategic Sourcing, etc.) by fostering trust, aligning expectations, and delivering results to drive continuous improvement in service and operational success. Participate in store operational meetings, provide maintenance updates to P&L sessions, and budget wheel reviews.\r\n\tVendor Management: Establish and maintain relationships with external service providers, contractors, and suppliers. Evaluate vendor performance, assist with negotiated contracts (RFP), and oversee the procurement of maintenance related goods and services to ensure cost-effectiveness and timely delivery. \r\n\tPreventative Maintenance: Assist in development of preventative maintenance programs to minimize downtime and ensure safety and efficient operation of building systems and equipment\r\n\tOperating Procedures: Assist with implementing SOP’s, reference guides and process documents to support maintenance operations\r\n\tWorkflow Administration: Execute OPEX, Capital and ECR approvals as assigned within Operating system, Officetrax and SAP\r\n\tStore changes – New Store, Renovations, Closures, Flip: Work with Project Managers to facilitate project update/changes to Portfolio, update requisite vendors for new store openings and participate in handover of new sites and address deficiencies\r\n\tAnalytics: Monitor and analyze maintenance metrics to identify trends and opportunities for improvement (budget wheel)\r\n\tAddress all vendor/coordinator and store operations issues escalations via phone/email/Computer Maintenance Management System (CMMS)\r\n\tProvide technical support as required with Landlord related items.\r\n\tAvailable to work flexible hours and action emergencies as required\r\n\tBuild clear SOW (scope of work) for capital rehab projects as needed\r\n\tOther related tasks as assigned \r\n\r\n\r\n \r\n\r\nPROJECTS & PROCESS:\r\n\r\n\r\n\tConduct annual RMM store inspection Audits and action follow up work as required LCL\r\n\tPerform regular store visits at frequencies agreed upon with your Director\r\n\tSupport Real Estate operations with initiatives, technical support, and project work as needed\r\n\tIdentify efficiencies to operational and systematic processes and/or technology\r\n\tIdentify implementation solutions and change management opportunities\r\n\tAssist with implementing SOPs, reference guides and process documents to support solutions\r\n\tAssist with maintaining central document repository for easy access to all SOPs, guides, and documents\r\n\r\n\r\n \r\n\r\nWORKFLOW FACILITATION:\r\n\r\n\r\n\tReview, challenge, decline or approve quotes as assigned\r\n\tExecute capital and ECR approvals as assigned\r\n\tInput and dispatch WKO requests for RMM identified issues\r\n\tValidate PMs in workflow management system\r\n\tEducate store operations (store management) on WKO creation process as required\r\n\r\n\r\n \r\n\r\nNew Store, Renovations, Closures, Franchise Flip, Capital Projects:\r\n\r\n\r\n\tMonitor the Source to track all store openings, closings, flips, new locations\r\n\tLiaise with PM and store operations to obtain list of all services and vendors required for service\r\n\tParticipate in the deficiency walk and sign off on deficiency list provided by construction\r\n\tAssist with onboarding new Assets to established Asset Management Programs.\r\n\tConfirm with assigned coordinator location has been closed and for flips, new location is opened\r\n\tWork with assigned Coordinator to follow up with Vendors after close date on request backlog to ensure all WKOs are invoiced in a timely manner\r\n\tWork with assigned Coordinator to ensure vendor contracts have been updated to reflect store closure/opening to minimize invoicing risks\r\n\tEducate store managers/store management on the use of the CMMS.\r\n\r\n\r\n \r\n\r\nSUBJECT MATTER EXPERT: \r\n\r\n\r\n\tCollect updated scope requirements and qualitative questions for RFP Process\r\n\tActively seek and present new industry opportunities to the team\r\n\tBuild multi-year capital plan based on workflow management history and site inspections, and vendor assistance\r\n\tMonitor and analyze maintenance metrics to identify trends and opportunities for improvement\r\n\tManage vendor performance\r\n\r\n\r\n \r\n\r\nRELEVANT SKILLS AND QUALIFICATIONS:\r\n\r\n\r\n\tMinimum of 5+ years experience in maintenance/ property management, preferably in commercial or retail property management\r\n\tDegree in Engineering, Facilities Management, or a related field (or equivalent work experience).\r\n\tKnowledge of building systems including plumbing, electrical, lighting, and familiar with grocery store type equipment\r\n\tStrong leadership and management capabilities\r\n\tEffective problem solving and analytical sills, with the ability to quickly identify and address maintenance related issues\r\n\tExcellent communication and interpersonal skills, with the ability to build strong relationships with internal and external stakeholders\r\n\tAbility to work independently, prioritize tasks, and manage multiple projects simultaneously\r\n\tFamiliarity with computerized workflow management systems (ie Officetrax) and other maintenance and finance related software\r\n\tStrong presentation skills\r\n\tBilingual is an
